Organise out-of-pocket costs
Make one list without counting the same cost twice.
Create a simple ledger
For your own records, use date, category, amount paid, receipt location and reimbursement status. A short description such as transport or equipment is enough for the worksheet. Preserve original records privately rather than uploading them here.
Separate paid from proposed
An estimate, a booked service and a paid invoice represent different stages. Put actual spending into the past-expenses input. Put proposed recurring spending into a future scenario only when you can explain the amount and duration. The tool does not approve that spending or confirm coverage.
Watch duplicate entries
A card statement and the receipt for the same purchase are one cost. A reimbursement may relate to an amount already in your ledger. Track them together for review, but do not infer the legal treatment of the reimbursement.
Make uncertainty visible
Keep a question list for costs that are partly personal, shared with another person or not clearly connected. Ask which records and explanations are appropriate. A subtotal is useful only when another reader can trace it back to its entries.
